OVERVIEW:The Administrative Staff Member/Junior Accounting Clerk is responsible for all front desk client communication including receiving visitors, operating phone system, directing calls and providing support to partners, managers, and other staff. Responsibilities will include processing tax returns and financial statements as well as performing routine clerical and data entry tasks for accounting data support including accounts payable, billing and receivables.
RESPONSIBILITIES:o Operate telephone system, direct calls and faxes, and answer client inquiries as appropriate. o Greet clients and guests and offer drinks as needed or upon request. o Maintain personnel schedules. o Maintain neat and organized work environment and keep common areas and conference room clean and ready for use by clients and visitors. o Process Tax returns and financial statements. o Conducts routine data entry management, including processing for accounting records including accounts payable, billing, and accounts receivable. o Review billing statements, invoices, and similar documents for accuracy; alerts supervisory staff of any discrepancies. o Scan, File and photocopy critical correspondence and client data. o Maintain strict confidentiality with respect to firm’s clients and business transactions. o Assist Director of Administration with general administrative duties. o Assist Partners and Staff with client communication. o Maintain various client databases. o Such other responsibilities as may be assigned.
QUALIFICATIONS:o Comprehensive understanding of the importance of outstanding client service. o Ability to manage time and priorities. o Ability to project a positive and professional image when representing the company to clients and the business community. o Ability to enter data accurately and efficiently into computer software and systems. o Proficiency in math, Microsoft Windows © and Office © applications, and other computer software. o Good verbal and written communication skills. o Be prompt, efficient, and organized when carrying out all tasks. o Be courteous, pleasant, and helpful on the telephone and in person. o Be Professional in dress and appearance.

REQUIREMENTS:o Strong communication and organizational skills. o Proficiency in multi-line telephone systems and computer software. o Consideration may be given to a candidate with a degree in lieu of experience. College degree preferred. o Commitment to the Firm and Intense desire to succeed within an ethical, client service-oriented environment. o Track record of success.
