Job Description:The Operations Coordinator is responsible for providing general office assistance to the Vice President of Facilities, Assistant Vice President of Facilities and the Manager of Facilities, including Purchasing back-up support and Food Purchase Coordination
Responsibilities:• Provide administrative assistance to the Facilities Department administrators • Assist Skilled Maintenance personnel with clerical tasks when needed • Maintain and update spreadsheets used by the department for record keeping and/or reporting • Create spreadsheets when necessary • Organize and keep files up-to-date • Receive calls for Facilities Department staff • Follow up on calls as directed • Call vendors for pricing, scheduling or parts as necessary, housekeeping and exterminator services, landline phones, etc. • Prepare letters, e-mails, and other correspondence • Arrange of pick-ups, deliveries, and distribution of materials and equipment and coordinate with all parties • Track down Facilities Department staff when needed in emergency situations • Assist with paperwork in the absence of the Vehicle Coordinator • Work with the Switchboard Operator/Receptionist to ensure that the agency telephone list is up-to-date • Assist program and support personnel by assuring requests for special events are available on a timely basis • Assist with special projects as needed • Cover the Switchboard Operator/Receptionist area when needed • In the absence of the Assistant Vice President, assist with his/her responsibilities • Provide support to the Purchasing Agent when requested by the VP of Facilities to include processing Purchase Orders for materials and supplies as well as cell phones and all other commodities handled by the Purchasing Agent. • Process, co-ordinate and monitor food purchase orders for delivery of groceries and miscellaneous sundries directly to residential facilities.
Qualifications:High School Diploma is required. Associates Degree is preferred. Secretarial School Certificate a plus. Three years of related work is required.
Skills:Ability to interact with and complete assignments in a manner sensitive to the service population’s cultural and socioeconomic characteristics.
Salary Wage:$43,000
